Two to four weeks is workable for most Cincinnati events, and six to ten is better, because the presses ship by freight from Fullerton. If your date is sooner, ask anyway and we'll check the freight schedule.
A simple timeline
- 6+ weeks out: best for Oktoberfest weekends and big Bengals game days. Time for art proofing, garment sourcing, freight and venue paperwork.
- 2 to 6 weeks out: workable for most events. Send the date, venue and headcount and we lock the setup.
- Under 2 weeks: sometimes possible with simple art and standard blanks. Reach out and we'll tell you quickly.
What speeds things up
Have the art ready, a rough headcount, the venue and the date, and a sense of which stations you want. The more we get up front, the sooner the freight can be booked. Art should be final about a week out.
Date might move? Two weeks' notice keeps freight changes simple, so tell us early if the date is soft.

Cincinnati timing
Why the calendar starts with freight
Our gear doesn't drive over from across town, so the load-in date sets everything else. We confirm the venue's receiving window, power and queue path, then book the freight. Duke Energy Convention Center runs its own move-in schedule. A private room near Heritage Bank Center or downtown is usually simpler.
When a major show is on at the convention center, hotels and labor across Greater Cincinnati tighten, so booking early pays off those weeks.
